What you get

A Miami conference, filmed so it keeps working after the last session.

You keep three things from each day: every session recorded in full, a recap that sells next year's event, and a kit of captioned clips for every speaker. See how each one works on our event video page. Here's how we run it in Miami.

Travel is in the price

Video Department is based in Fort Lauderdale and works in Miami every week. Miami Beach, downtown, Brickell or Coral Gables: travel within Miami-Dade is included.

Venue charges, flagged early

Some costs come from the venue, not from us, like the audio patch fee at the Miami Beach Convention Center. We point them out before you sign, so the budget holds.

The venue may film too

The Miami Beach Convention Center asks events to approve its own marketing team filming load-in, the opening, the show floor and load-out. We plan around them so both crews get their shots.

The right names on the certificate

Most venues here want to be named on the insurance certificate. We're insured and match your venue's insurance requirements for outside crews; we send the certificate (COI) before the event.

Local know-how

The Miami Beach Convention Center and downtown hotels

The City of Miami Beach owns the convention center, and Oak View Group (OVG) runs it. This is what its 2026 planning guide means for your video, and how the big downtown hotels handle AV.

Encore runs the house AV

Encore became the Center's preferred AV, rigging and digital branding provider on Oct 1, 2025. The in-house audio system is Encore's exclusive right. Your own AV contractor can work there with prior notification.

The audio patch fee

Commercial recording of sessions carries an audio patch fee, charged per room by Encore. The amount isn't published, so we arrange the feed ahead and ask Encore to put the fee in your AV quote.

Union labor

AV load-in, setup, the show itself and load-out are IATSE Local 500 work, and outside companies may supervise only. We plan our cameras alongside that crew.

Deadlines and drones

The certificate of insurance must name the City of Miami Beach and OVG, and it's due 30 days before your lease starts. Drone documents must be approved at least 14 days ahead, and no drone may fly inside while attendees are in the space.

JW Marriott Marquis Miami

Encore runs AV here. The hotel's events page links an Encore price guide from 2022, marked subject to change, so we ask for current rates and the sound-feed fee in writing.

Hyatt Regency Miami and the Knight Center

Encore lists an on-site team at the Hyatt. The James L. Knight Center is run by Legends Global, and its rules for audiences at ticketed shows ban professional cameras, so we confirm our crew is on the approved list.

Neither hotel publishes outside-vendor fees or certificate wording, so ask the event manager early. Sources for all of this, plus the Fort Lauderdale venues: our South Florida venue rules guide.

Miami conference questions

Do you charge travel to Miami or Miami Beach?

No. Video Department (VIDEO DEPT.) is based in Fort Lauderdale and works in Miami every week, so travel within Miami-Dade is included. A conference day is $2,900, $4,900 or from $7,500, depending on cameras and rooms, with nothing added for the drive.

How do you get clean sound at the Miami Beach Convention Center?

From the in-house audio system, which is Encore's exclusive right. The Center applies an audio patch fee, per room, for commercial recording of sessions, and the amount isn't published. We arrange the feed with Encore ahead of the event, so the fee is known before the day, and we record a backup on our own microphones.

Can an outside video crew work at the Miami Beach Convention Center?

Yes. A show's own AV contractor may work there with prior notification, alongside the union crew (IATSE Local 500) that handles AV load-in, setup and the show. We send our certificate of insurance (COI) before the deadline, naming the City of Miami Beach and OVG as the Center asks.

Do we need a film permit for a conference in Miami Beach or downtown Miami?

Usually not. Miami Beach needs no permit when you rent directly from an enclosed, managed venue like the Convention Center, or when everything stays inside private commercial property such as a hotel. Its permits are free and only needed for parts of the shoot outside on public property. Miami-Dade County needs none on private property unless there are faux weapons or pyrotechnics. The City of Miami, which covers downtown and Brickell, doesn't say either way for events inside private venues, so we ask its film office. Allow 3 business days.

Can you fly a drone at a Miami Beach event?

Outdoors, yes, with the city's permit. Aerials are flown by a licensed Part 107 pilot we bring in. Every filming flight in Miami Beach needs a “Miami Beach Aerials” permit: daylight only, never over the general public, with at least one off-duty police or Ocean Rescue officer, filed at least 5 business days ahead. Inside the Convention Center, no drone may fly while attendees are in the space.

When should we book video for a Miami conference?

Once your venue is confirmed. The Miami Beach Convention Center wants the certificate of insurance 30 days before your lease starts and drone documents approved at least 14 days before. A Miami Beach drone permit takes at least 5 business days, and a City of Miami film permit 3.

Can you live-stream the conference?

Yes. We can live-stream sessions alongside the recording, and we quote the stream together with the filming. We plan the stream and the sound feed with the venue's AV team before the event.

Will you sign an NDA for private sessions?

Yes. We sign NDAs for closed sessions and internal events.

Do the videos come with captions?

Yes. Speaker clips come captioned and ready to post, and full session recordings can be captioned too.

How it works

From first call to final cut.

  1. 1

    Tell us about the event

Venue, dates and rooms. At the Miami Beach Convention Center, we'll ask about your Encore AV order so the recording feed is in it.

  2. 2

    Same-day fixed quote

One written price, with travel in Miami-Dade already included. The price we agree is the price you pay.

  3. 3

    We cover it

We drive down ahead of call time, take the house feed, keep a backup recorder running and work around your run of show.

  4. 4

    You get the films

Speaker clips while people are still posting about the event, then the recap, then every full session.
